This Privacy Policy explains how Versys Media ("Versys Media", "we", "us" or "our") processes personal information in connection with app.versysmedia.com and the applications made available through it (the "Platform"). It should be read together with our Terms of Service.
1. Scope and applicable privacy law
We process personal information in accordance with applicable privacy and data-protection law. For users in South Africa, this includes the Protection of Personal Information Act, 4 of 2013 (POPIA). Where another jurisdiction gives you additional mandatory rights, those rights continue to apply.
2. Information we may collect
- Information you submit: for example your name, business name, email address, website, country, phone number and consent selections when you request an AI Caller demonstration.
- Technical and security information: IP address, browser and device information, request timestamps, error information and server/security logs reasonably required to deliver and protect the Platform.
- Product data stored locally: some tools, including Pal Atlas features, are designed to keep user-created or imported data in browser storage on the device unless you deliberately export or otherwise transmit it.
- Communications and service metadata: information reasonably generated when we fulfil a requested call or follow-up, such as delivery status and workflow records.
Please do not submit personal information that you are not authorised to provide.
3. How and why we use information
We may process information to provide the requested product or service, respond to enquiries, operate and secure the Platform, diagnose faults, prevent abuse, improve functionality, keep appropriate business records, comply with legal obligations and communicate with you where you have requested or permitted that contact.
Where consent is required by law, we rely on consent. In other cases we may process information where another lawful basis applies, including where processing is necessary to provide a service you requested or for legitimate operational and security purposes recognised by applicable law.
4. AI Caller and automated calls
When you request an AI Caller demonstration, you confirm that you are authorised to use the number you submit and that you want to receive the requested automated call. The details you submit are sent through our automation and telephony workflow so the call can be placed and, where permitted, so our team can provide relevant follow-up.
Do not use the AI Caller to submit another person's phone number without their authority. You may contact us if you no longer want follow-up communication.
5. Service providers and disclosure
We do not sell personal information. We may disclose or make information available to:
- hosting, security, automation, communications, telephony and technology providers that process information for us or as necessary to provide the requested service;
- professional advisers where reasonably necessary;
- law-enforcement, regulators, courts or other parties where disclosure is required or permitted by law; and
- a successor or purchaser in a genuine corporate restructuring or business transfer, subject to appropriate safeguards.
We require service providers to handle information for defined purposes and with appropriate confidentiality and security protections where applicable.
6. Cross-border processing
Some service providers or infrastructure may process information outside South Africa or outside your country. Where cross-border processing occurs, we take reasonable steps intended to ensure that the transfer and processing are permitted under applicable law and subject to appropriate safeguards.
7. Retention
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, to maintain security and business records, resolve disputes, enforce agreements or comply with legal obligations. Retention periods vary according to the product, the information involved and applicable law. Information may be deleted or anonymised when it is no longer reasonably required.
8. Cookies, browser storage and similar technologies
The Platform may use cookies, local storage, IndexedDB or similar browser technologies for functionality, preferences, local product data and security. Certain products use browser storage specifically so data can remain on your device. You can clear browser storage through your browser settings, although doing so may remove saved product data or preferences.
9. Security and security incidents
We use reasonable technical and organisational safeguards appropriate to the nature of the Platform. These can include HTTPS, access controls, server-side validation, security headers, bot and abuse controls, restricted configuration files and service-provider safeguards. No internet service can guarantee absolute security.
If a security incident involving personal information requires notification under applicable law, we will take the steps required by that law.
10. Your privacy rights
Depending on the law that applies to you, you may have rights to request access to personal information, correction or deletion, object to certain processing, withdraw consent where processing is based on consent, or lodge a complaint with a competent privacy regulator.
South African users may also contact the Information Regulator regarding a POPIA complaint.
11. Children
The AI Caller is intended for adults and business users. Do not submit personal information through the AI Caller if you are not legally able to provide the required consent. Other tools may be usable without submitting personal information to us.
12. Changes to this policy
We may update this policy as the Platform, our providers or legal requirements change. The revision date at the top of this page shows when the policy was last updated. Material changes may be highlighted where reasonably appropriate.
